5. Shipping and Delivery
I. Shipping Coverage
We currently offer shipping within the United States. Orders generally require 1–3 business days for processing before shipment. After dispatch, estimated transit time is 5–8 business days, resulting in an estimated total delivery time of approximately 6–11 business days from the date the order is placed.
These are estimates rather than guaranteed delivery dates. Actual delivery depends on product availability, the destination, carrier operations, and other relevant circumstances.
II. Shipping Charges and Tracking
Applicable shipping fees and any available tracking details will be presented or provided in accordance with our shipping procedures. Customers should use the tracking information supplied to monitor shipment progress and contact us if a material delivery problem arises.
III. Delays and Unfulfilled Orders

We will not treat silence as consent where express consent is legally required.

6. Order Cancellation
I. Standard Cancellation Request Period
You may request cancellation within 48 hours after placing your order, provided the order has not yet shipped. This is our standard commercial cancellation procedure and does not limit any cancellation or refund right that applies under mandatory law.
II. Orders Already Shipped
If an order has already shipped, it may no longer qualify for cancellation under our standard pre-shipment procedure. You may instead submit a return request under our Return and Refund Policy, subject to the applicable terms and legal rights.

7. Commercial Returns and Exchanges
I. Return Notification Period
For eligible commercial returns and exchanges, you must notify Xylarocetra of your intention to return or exchange an item within 30 calendar days from the date the item is delivered to the shipping address provided with your order. The delivery date shown in the carrier’s tracking records will generally be used to determine when this period begins.
II. Return Shipment Deadline
After receiving written return authorization and instructions from our customer support team, you must dispatch the authorized return within 14 calendar days from the date of the authorization notice, unless we confirm a different deadline in writing or applicable law requires otherwise.
The 14-calendar-day return shipment period does not extend the original 30-calendar-day notification period. Both deadlines are part of our standard commercial return procedure and do not restrict statutory rights or warranty remedies that apply independently.
III. Eligible Return Reasons
Eligible requests may concern material damage on delivery, manufacturing defects, functional or quality issues, significant discrepancies from the product description, incorrect or mismatched products, or a change of mind. The applicable conditions and allocation of return shipping costs depend on the reason for the request and the terms of our Return and Refund Policy.
IV. Return Authorization and Inspection
Contact us before returning an item. We will provide written instructions explaining the authorized return method, shipping arrangements, and applicable return destination or collection procedure. Please do not send furniture to an unconfirmed address or arrange expensive freight transportation without first confirming the appropriate method.
After receiving a return, we will assess the item and communicate the next steps. An inspection requirement will not be used to improperly delay or deny a remedy required by applicable law.
V. Exchanges
If an exchange is approved and a replacement is available, we aim to dispatch the replacement within 1–3 business days after the original item has been received and the exchange has been approved following inspection. Actual delivery time depends on availability, shipping arrangements, and carrier operations.
If a replacement is unavailable, we will contact you to discuss an appropriate alternative or refund where applicable. We will not rely on product unavailability to deny a remedy required by law.

8. Return Shipping Costs for Furniture
I. Defective, Damaged, or Incorrect Items
Where a return is attributable to a confirmed defect, material damage on delivery, an incorrect product, or another issue for which we are responsible, we will arrange or cover reasonable return shipping costs in accordance with our instructions, the applicable warranty, and applicable law.

II. Change-of-Mind Returns
For a return requested solely because of a change of mind or personal preference, the customer is responsible for applicable return transportation costs, subject to any rights that cannot lawfully be excluded. Any treatment of original outbound shipping charges will be consistent with the terms disclosed before purchase and applicable law.
III. Estimated Return Shipping Cost for Large Furniture
For large furniture items that require freight service, oversized-item transportation, or special handling, the estimated return shipping cost is generally approximately $70–$90 per item or shipment. This estimate may vary above or below the stated range.
The actual charge depends on the item’s dimensions, weight, packaging, pickup location, destination, carrier, and any required freight or special handling service. Multiple-item returns may incur different costs.
Where this estimate applies, we will make it available on the relevant product page or otherwise clearly disclose it before the customer completes the purchase. If the exact cost cannot reasonably be determined in advance, we will disclose the estimated range and relevant factors that may change the final amount. IV. Return Labels and Freight Collection
A standard parcel return label may not cover bulky furniture or freight transportation. If a supplied label is missing, unsuitable, or unusable for the item, contact us before making alternative arrangements. We will explain the applicable return method and responsibility for the cost.

9. Refunds and Refund Processing Time
I. Refund Eligibility
For a standard commercial return, a refund is generally arranged after the returned item has been received, inspected, and approved. Different procedures may apply to damaged or defective products, incorrect items, warranty claims, canceled orders, or other situations in which a refund is required by law.
Submitting a return request does not, by itself, mean that a refund has been approved. However, we will not use the ordinary inspection procedure to improperly delay or deny a refund or other remedy required by applicable law.
II. Refund Method
Approved refunds will generally be issued to the original payment method used for the purchase. Supported card networks may include American Express, Discover, JCB, Mastercard, and Visa.
If the original payment method is unavailable or cannot accept the refund, we will contact you to discuss an appropriate alternative consistent with applicable law and payment provider requirements.

Once a refund is approved, we aim to submit it to the original payment provider within 3 business days. Refunds required by law will be issued within the applicable legal deadline, even if that deadline is shorter than our standard processing target.
IV. Estimated Posting Time
After the refund has been submitted, we estimate that the funds will appear in your account within 1–3 additional business days. Actual posting time depends on your card issuer, payment provider, and financial institution and may take longer in some circumstances.
The time required to receive and inspect a return is separate from the refund submission and posting periods. If your refund has not appeared after the estimated posting period, contact us so that we can review the transaction status.
V. Refund Amount and Deductions
The refund amount will be determined by the purchase details, the reason for the return, applicable shipping charges, the approved remedy, and applicable law. For eligible defective, damaged, or incorrect items, we will cover reasonable return shipping costs in accordance with our instructions and applicable requirements.
For change-of-mind returns, return transportation costs are generally the customer’s responsibility. We will not impose an undisclosed restocking fee or make an arbitrary deduction from a refund. Any deduction permitted by law must have an appropriate basis and be disclosed as required.
10. Two-Year Limited Commercial Warranty for New Products
I. Warranty Period and Commencement
For new products sold by Xylarocetra, we provide a two-year limited commercial warranty against defects in materials and workmanship, beginning on the date the product is delivered to the customer.
The warranty applies in addition to any consumer rights or remedies that cannot lawfully be excluded or limited.
II. Warranty Coverage
The warranty covers defects in materials, manufacturing, and workmanship that arise during the warranty period under normal household use and in accordance with the product’s care and assembly instructions.
A claim will be assessed based on the reported problem, the product, the available supporting information, and the applicable warranty terms. Reasonable documentation may be requested to determine whether the issue is covered.
III. Free Repair or Replacement
If a covered defect is confirmed during the warranty period, we will provide repair or replacement of the affected product or component without charge for the approved warranty remedy. Covered costs include reasonable parts, labor, and necessary transportation associated with the approved repair or replacement.
We will determine the appropriate initial remedy based on the nature of the defect, repair feasibility, product availability, and applicable law. We will explain the proposed remedy and any necessary arrangements before proceeding.
IV. Further Remedies if Repair or Replacement Fails
If a covered defect cannot be repaired or the product cannot be replaced within a reasonable time, or if an attempted remedy fails, we will consider an appropriate further remedy. Depending on the circumstances and applicable law, this may include a refund or price reduction where available.
The availability and sequence of remedies may depend on the applicable law, the nature of the defect, the warranty terms, and whether the initial remedy was successful. Nothing in this section eliminates a remedy required by law.
V. Warranty Claim Procedure
To make a warranty claim, contact team@xylarocetra.com with your order number, proof of purchase, a description of the defect, and photographs or videos where reasonably available.
We will review the claim and provide instructions for inspection, repair, replacement, or another appropriate remedy. Please retain the product and relevant components until we have advised you how to proceed.
VI. Warranty Exclusions
To the extent permitted by applicable law, this limited commercial warranty does not cover damage caused solely by misuse, neglect, unauthorized modification, accidents, improper assembly contrary to supplied instructions, normal wear and tear, or failure to follow applicable care instructions.
No exclusion will be applied where doing so would unlawfully restrict a consumer’s rights. A warranty claim will not be rejected merely because a product has been used normally or because a defect is discovered after delivery.
VII. Relationship to Other Warranties and Legal Rights
This warranty does not replace any separate manufacturer warranty that applies to a product. Where a separate manufacturer warranty is provided, its terms will be made available as applicable.
